# Inbound follow-up

## Flow

1. Watch the inbound source (form, shared inbox, or CRM "new lead").
2. Match to the CRM. If they already have an open deal or are a customer, route to the owner — do not start a parallel thread.
3. If they look like a duplicate of a record updated this week, stop and flag.
4. Draft a reply: answer the actual question, one next step, booking link if they asked for time.
5. Queue the draft. Do not send.

## What "good" looks like

- Under 120 words.
- Names the thing they asked about (a service, a timeline, a price range) — not a generic "just circling back."
- One ask. Not a five-step sequence.

## Safeguards

- Never send without a human confirm.
- Never email a lead who did not inbound (this is not outbound).
- Never invent pricing, timelines, or "we can start Monday."
- If the CRM still fails hygiene checks (missing email, missing company), don't draft — send the owner a "fix this record" note instead.

## Example draft

Subject: Re: Website form — invoicing

Hi Dana — you asked about getting invoices out of the inbox and into
QuickBooks. That's a two-week first build for most shops our size.
If you want to walk through how bills arrive today, grab 20 minutes:

## Add it to your agent

Read this file and follow the instructions. Do not enable this skill until the hygiene digest has been clean for two weeks.
